How do I Create a Hiring Workflow in Pinpoint?

To create a hiring workflow in Pinpoint, you will first access the settings section to define the workflow stages that best suit your recruitment needs. Follow these steps to set up your hiring workflow:

  1. Create a New Workflow
    Navigate to the Template page and click the option to create a new hiring workflow. Give it a descriptive name.

  2. Add Stages to Your Workflow
    Select the stages you wish to include in your workflow, such as interviews and background checks, and drag them into the desired order.

  3. Edit Each Stage
    Click on each stage to edit its details, such as the stage name, reporting group, interview template, and scorecard. You can pick a Hiring Wokflow Group, or create a new one for improved reporting.

  4. Set Candidate Visibility
    Decide if you want each stage to be visible to candidates. If yes, provide a name and description that explains what to expect at this stage.


    The information from the external section will be displayed on the job posting underneath the "Apply Now" button for the job. If the candidate clicks "Find out more" they will see each stage description.


  5. Add Stage Actions
    Utilize stage actions to automate processes such as sending interview invites or engagement alerts if candidates have stayed in a stage for too long.

  6. Save Your Workflow
    Once satisfied with your workflow setup, save the changes for it to be used in your job templates.

Once you have created your hiring workflow, you can apply it to job templates or existing job postings. Regularly update your workflows to ensure they meet your recruiting needs effectively.

Who will be listed as the sender when automatic interview invites are sent through stage actions?

When the system sends automatic interview invitations, the email will appear to come from the hiring manager assigned to the job, the recruiter assigned to the job, or the original job creator if neither a hiring manager nor a recruiter is assigned. The invitation will not display the name of the person who manually moved the candidate to the stage that triggered the automatic invite.

What if the candidate doesn't receive their interview invitation?

If a candidate does not receive their interview invitation, check the following: ensure their email address is correct, verify that the email did not end up in the spam folder, and confirm that the automatic invite was indeed triggered by checking the stage actions in the workflow.
