How do I export applications to PDF?

Share applications in a standard format outside of Pinpoint.

This feature is not enabled by default in Pinpoint. If you'd like to have this feature enabled, please contact Pinpoint's Support team or your Customer Success representative, and they will enable this for you.

Summary

You can download applications as a PDF. Included in the PDF are the basic details of the application, answers given to questions on the application form, scorecards completed and comments made.

You will need to have be a user with the 'Applicants' permission assigned before you can use the 'Export as PDF' feature. See more about permissions here.

How it works

  1. Go to the job and select the check box tot eh left of the names of applications you would like to export to pdf. Click "more" in the navigation bar that appears.

  2. Click Export as PDF (visible to users with the correct permission).

  3. Choose what to include in the export eg. personal details, answers, scorecards, comments, and/or the resume.

  4. Click export. The PDFs are generated immediately, so all data will be current at the time of export.

  5. You'll receive an email with a download link to a zip file containing all exported documents.

Note: If you select CV only, the export will contain just the CV document.

FAQs

Can i export to PDF for anonymised applications? - No, currently applications that are redacted using the anonymisation feature cannot be exported to pdf - to email will be received if this is attempted.


How many applications can I export? - You can export up to 100 applications at a time - if you set the "items per page" to 100 at the bottom of your candidates list.


What sections can I include in a PDF export?

You can choose from up to 20 sections when exporting an application as a PDF:

  • Cover — A cover page with the candidate's name, job title, and export timestamp

  • Summary — Key dates and details across the application, documents, references, background checks, and onboarding

  • Candidate Details — Name, email, phone number, and basic info

  • Personal Summary — The personal summary submitted by the candidate

  • Application Questions & Answers — Answers from the original application or additional information requests

  • Structured Section Responses* — Answers to structured sections

  • Application Details — Source, custom fields, and other application metadata

  • Scorecards — Completed interview scorecards

  • Résumé — The résumé stored on the application

  • Cover Letter*

  • Comments — Internal comments left on the application

  • Messages — All email correspondence with the candidate

  • Offer/s — All offers created for the application

  • Checks* — Background checks

  • Onboarding Details* — Onboarding process overview

  • Onboarding Stages & Responses* — Full onboarding stage details, including signed and collected documents

  • Job Details — Details of the job the application is for

  • Documents — All documents sent to the candidate

  • References* — Stored references

  • Interviews — All interviews conducted for the candidate

    (* only available if the relevant feature is available for your platform)


Do all sections appear for every company?

No. Some sections only appear if your company has the relevant feature enabled. Sections affected include Cover Letter, Structured Section Responses, Onboarding Details, Onboarding Stages & Responses, and References.


Who can export applications as a PDF?

You need the Application Exporter role to use this feature. The feature must also be turned on in your company settings. Contact Pinpoint Support or your Customer Success representative if you need it enabled.


Can I customise the filename of exported PDFs?

Yes. You can customise the filename using variables such as the candidate's name or custom field values.
