July 2025 New Features - Onboarding Contracts, Fillable PDFs, and Candidate Audits

We’ve rolled out a set of updates designed to give you more flexibility, save time, and make compliance a little less painful. From smarter document handling to better visibility into candidate data, these improvements are all about making the details work harder for you.


Fill and Sign PDFs in the ATS

You can now collect more than just a signature when sending PDF documents to candidates from the ATS. With the new “fill and sign” option, candidates can complete additional fields, such as their full name, address, and the date, before signing.

This provides you with more flexibility for documents like NDAs, where you may need candidates to provide additional information. Set it up once in your document templates, place the fields where you want them to appear, and use a stage action to send the document automatically when a candidate reaches a specific step in your process. All submitted responses are saved to the candidate’s profile for easy reference later.


Templated Documents (Contracts) in Onboarding

You can now send templated contracts as part of your onboarding process. That means no more copying and pasting candidate details into offer letters. This update brings our document templating tools (previously only available in the ATS) into the onboarding process. It allows you to merge candidate, job, and custom field data directly into a contract template, such as a DOCX file, before it’s sent to the candidate.

Now, contract creation can happen automatically when a candidate joins onboarding. It’s faster, more consistent, and one less manual step for your team. You can also let users pick which contract template to use when assigning someone to onboarding.


Candidate Audit PDF Export

You can now export a full candidate history in a single, audit-ready PDF. This includes everything from personal details and application responses to interview scorecards, signed documents, and background check results.

The export is customizable, so you can choose exactly what to include. You can include scorecards, every document, offers, and other data Pinpoint holds on a candidate. It's ideal for audit requests, compliance reviews, or sharing structured data with third parties.

Due to local data regulations, this feature isn’t switched on by default. If you’d like to enable it for your organization, please contact the Pinpoint Support team.

Small but Mighty

  • Job Creation Date: The Manage Job page can now be filtered by job creation date.

  • Candidate State: US clients can now filter candidates within a job by state.

  • Updated Candidate View: See more information about a candidate from the All Candidates page.
