How to Use the Hiring Copilot

The Hiring Copilot is an AI assistant that helps you review and manage job applications through natural conversation. Ask questions about a candidate, review their data, and take actions — all without leaving the application screen.

What is the Hiring Copilot?

The Hiring Copilot is an AI-powered assistant available when reviewing individual job applications. It can read candidate data, answer your questions, and perform actions like moving stages or sending emails on your behalf.

Key benefits:

  • Get instant answers about a candidate's background, interview feedback, and application history

  • Compare a candidate's CV against the job requirements in seconds

  • Take actions like moving stages, adding comments, and sending emails through conversation

  • Use voice input for hands-free interaction

  • Save frequently used prompts for quick reuse

Users will need the "access the AI Hiring copilot" permission to use this feature


Opening the Hiring Copilot

Step 1: Navigate to an Application

Click into a job and navigate to an individual candidate's application.

Step 2: Open the Copilot

Click the Hiring Copilot button to open the assistant panel on the right side of the screen.

The copilot opens as a slide-out drawer. You'll see a welcome message asking what you'd like to know about the candidate, along with suggested questions to get started.

Asking Questions

Type your question in the text box at the bottom and press Enter to send. The copilot will pull the relevant candidate data and respond.

Tip: You don't need to provide any context about who the candidate is — the copilot already knows which application you're looking at.


Taking Actions

The Hiring Copilot can perform actions on the application. Every action requires your explicit confirmation before it happens.

Moving a Stage

Ask something like "Move this candidate to the interview stage." The copilot will:

  1. Look up the available stages

  2. Propose the move and show you the details

  3. Wait for you to click Confirm or Cancel


The copilot always shows Confirm and Cancel buttons before taking any action

Adding a Comment

Ask something like "Add a note that we discussed salary expectations." The copilot will:

  1. Draft a professional comment based on your request

  2. Show you the draft for approval

  3. Add the comment only after you confirm

Sending an Email

Ask something like "Email the candidate to confirm their interview time." The copilot will:

  1. Draft the email with a subject line, body, and signature

  2. Show you the full draft

  3. Send only after you confirm

You can ask the copilot to make changes to any draft before confirming.


Using Voice Input

Click the microphone button next to the send button to record a voice message.

  1. Click the microphone icon to start recording

  2. Speak your question — you'll see a red recording indicator

  3. Click the icon again to stop recording

  4. The copilot will transcribe your speech and respond

Note: Your browser will ask for microphone permission the first time you use this feature.


Saved Prompts

If you find yourself asking the same questions across different candidates, save them as prompts for quick reuse.

Creating a Saved Prompt

  1. Type / in the text box to open the prompt menu

  2. Select "View saved prompts"

  3. Click "Create new"

  4. Give your prompt a name and enter the question text

  5. Click Save

You can also save any message you've already sent — look for the save option on your message bubble.

Using Saved Prompts

  1. Type / in the text box

  2. Your saved prompts appear in the dropdown

  3. Click a prompt to send it immediately

Saved prompts are personal to your account and work across all applications.


Managing Conversations

Clearing the Chat

Click "Clear chat" at the bottom of the text box to start a fresh conversation. This removes the previous messages so the copilot won't reference them in future responses.

Conversation Persistence

Your conversation is saved automatically. If you close the copilot drawer and reopen it, your message history will be restored. Each application has its own separate conversation.

Typewriter Effect

Responses appear with a typing animation by default. To toggle this on or off, click "Turn off typewriter effect" (or "Turn on") below any response.


Tips for Getting the Best Results

  1. Be specific — "What Python experience does this candidate have?" works better than "Tell me about them"

  2. Ask one thing at a time — Focused questions get better answers than multi-part requests

  3. Use it for comparisons — "Does their CV match this job's requirements?" pulls both the CV and job description to compare them side by side

  4. Let it suggest actions — Saying "We should move forward with them" will prompt the copilot to offer a stage move

  5. Save your best prompts — If a question works well, type / to save it for reuse on other candidates


Frequently Asked Questions

What data does the Hiring Copilot have access to?
The copilot can access all data within the application: candidate details, resume, comments, scorecards, interviews, offers, application answers, stage history, messages, and the candidate's other applications at your company.

Can it access data outside of Pinpoint?
No. The copilot can only access data available within the application in Pinpoint. It cannot browse the internet or access external systems.

Are actions reversible?
Actions taken through the copilot (stage moves, comments, emails) are the same as if you'd done them manually. They can be reversed the same way — for example, you can move a candidate back to a previous stage, or delete a comment.

Is my conversation private?
Yes. Your conversation with the copilot is tied to your user account and the specific application. Other users cannot see your conversations.

Can I use it on any application?
The Hiring Copilot is available on all applications across all jobs, as long as the feature is enabled for your company.

Why am I seeing a message about exceeding a monthly limit?
The Hiring Copilot has a monthly usage limit per company. If you see this message, your company's allocation for the month has been used. Contact your Pinpoint Customer Success representative to discuss adjusting the limit.

Does it work on mobile?
The Hiring Copilot works in any modern browser, including mobile browsers, though the experience is best on desktop.
