Advanced Hiring Funnel is an Insights Hub widget that shows how candidates move through your hiring process - how many reached each step, how many you lost along the way, the conversion rate between steps, how long each step takes, and where people came from and ended up. Every number on it opens into the candidates behind it.
✅ Permissions
You'll need Create and view insights permission to add or configure the widget. You'll also need access to the data behind the widget to click through to candidate data.

Capabilities
If you're thinking, "But I already use the Hiring Funnel widget?", you're likely thinking of the basic one. The two widgets measure two separate metrics:
Hiring Funnel shows each stage's share of your total applications, and matches stages across jobs by name.
Advanced Hiring Funnel calculates true step-to-step conversion and drop-off, reads each job's stages in the order that job actually runs them, and only compares jobs that run the same process.
Adding the Advanced Hiring Funnel changes nothing about dashboards you've already built!

Reading the Advanced Hiring Funnel Widget
The card carries three charts and always shows all three. There are no tabs, and none of them can be hidden.
Directly under the title is a row of tags stating what the widget is currently set to - which jobs it covers, the time period, how it's grouped, the conversion baseline, and any filters or advanced settings you've applied.
These are a statement rather than a control, so everyone looking at the dashboard can see what produced the numbers.
Applications in Stage Groups
The funnel itself. Each row shows how many applications reached that step, how many were lost since the previous step, and the conversion rate between them.
Each bar is split three ways:
Advanced - candidates who moved past this step
Still active - candidates sitting at this step right now
Rejected - candidates rejected at this step
That split matters as a step where candidates are waiting and a step where candidates are being turned down look the same as a single total, and they need very different action.
The Active only toggle in the chart header switches it to show just the candidates sitting at each step right now, rather than everyone who passed through. It affects this chart only - the other two don't change. In this view a later step can hold more candidates than an earlier one, which is expected.
When you're viewing a single job, this chart is titled Applications in Stages, because it's showing that job's own stages rather than stage groups.
Average Time in Stage
The average number of days candidates spend at each step, with n= showing how many candidates each average is based on. It sits on the same rows as the funnel, so you can read one step straight across from one chart to the other.
The final step reads End of process rather than a number of days, because it's an outcome rather than somewhere candidates wait.
Grouping doesn't apply to this chart.
Application Journeys
A flow diagram showing where candidates came from on the left, the steps they passed through in the middle, and where they ended up on the right - Hired, Still active or Rejected. The thickness of each band shows volume.
Click an entry band or an outcome to focus that group of candidates, drawing them at full strength against a faded version of everyone else. It works in both directions: click an entry to ask where those candidates ended up, or click an outcome to ask where they came from.
To change what the left-hand column splits by, change Group by in the configuration drawer.
Clicking a step in the middle opens the candidates behind it instead of focusing the diagram.
Understanding Job Groupings
Stages in Pinpoint belong to a job. A job takes its stages from a hiring workflow and can then be changed, and stage names are free text - so "Phone Screen" on one job and "Recruiter Screen" on another can't reliably be matched.
Stage groups solve this. Every stage belongs to a group - for example Applied, Review, Interview, Offer, Hired. The Advanced Hiring Funnel reads each job's stages in the order that job runs them, swaps each stage for its group, and collapses repeats that sit next to each other. Jobs that end up with the same sequence are running the same process, and only those are compared with each other.
Two things follow from this:
Jobs with different numbers of stages still match. A job with four interview rounds and a job with one both read as Applied → Review → Interview → Offer → Hired, so they compare fairly. The funnel compares the shape of a process, not the number of stages in it.
A process that returns to an earlier group is kept separate. If a job goes back to a Review stage after an interview, its sequence is genuinely different, so it isn't blended with jobs that don't. The funnel shows that return as a second Review step, in the real order.
You don't need to set any of this up - the groupings are worked out from your data. The widget opens on your largest set of similar jobs, which is usually most of your hiring.
To see one job's own stages instead, change Viewing to a single job.
If you want to change how your stages are grouped, ask your administrator. Changes there affect how the funnel groups your jobs.
Configuring the Advanced Hiring Funnel Widget
Everything that changes the numbers lives in the configuration drawer, opened from the sliders icon on the widget. Your settings are saved with the widget, so everyone looking at the dashboard sees the same figures.
Field | What it does |
Metric | Advanced Hiring Funnel, in the Candidates group. Use custom name renames the widget. |
Visualisation | Advanced Funnel — the only visualisation this metric offers. |
Time period | All applications, a calendar period, a rolling window, or a custom date range. |
Group by | Splits every chart the same way: application status, none, time period, source, department, recruitment manager or gender. Choosing Time period reveals a View by control for the granularity. |
Conversion | Measure conversion from the previous step, or from applied. This changes both the count and the percentage. |
Viewing | Similar jobs or a single job, then a picker for which set or which job. |
Advanced settings | Include candidates added mid-process · Hide active candidates · De-duplicate re-entries. Each has a line explaining what it does to your numbers. |
Filters | Add a filter per field, including or excluding multiple values. |
Changes preview on the card behind the drawer as you make them. Make sure you save them to keep them!
Viewing Underlying Data
To view the underlying candidate data, click any step to open the candidates counted at it. Click a single segment within a step - the rejected portion of the Review bar, for example - and you'll get exactly that slice, with the row count matching the figure you clicked.
The segment appears as a removable tag in the drawer, so you can widen back out to the whole step without closing it. A step picker lets you move up and down the funnel from inside the drawer.
The table shows the candidate, their job, their furthest and current stage, status, days in stage, applied and rejected dates, days to hire, department, hiring manager, recruitment manager and source. Export CSV downloads the list and Customise lets you choose the columns.
Opening the drill-down from the widget's table icon gives you the whole population rather than one step, and adds Export funnel summary - a download of the funnel's step table (each step, how many reached it, drop-off and conversion) rather than the candidate rows.
FAQs
Does this replace our existing funnel widget?
No. It's a separate metric and your existing Hiring Funnel widgets are untouched - same name, same numbers, same place. You can keep both, on the same dashboard if you like.
Why can't I see all my jobs in one funnel?
Jobs that run different processes can't be meaningfully added together, so the funnel compares only jobs that genuinely run the same sequence of stage groups. For a single job's own stages, change Viewing to that job.
Our process sends candidates back to an earlier stage. Does that work?
Yes. The funnel shows the return as a second visit to that step, in the real order, and jobs that do this are compared with other jobs that do the same.
Can I see the individual stages rather than stage groups?
Yes. Change Viewing to a single job and the funnel uses that job's own stages, in the order it runs them. Stage groups are only used when comparing across jobs.
Why does my funnel stop at Hired?
A hiring funnel ends at the hire. If you have stage groups configured after Hired - for onboarding or admin steps, for example - those aren't shown on the funnel, because past the hire an outcome starts to read like a stage candidates are waiting in.
Some of my stages are missing. Why?
A stage that hasn't been assigned to a stage group can't be placed on a shared axis, so it's excluded. The widget tells you when this is happening and how many jobs are affected. An administrator can assign stages to groups if needed.
Why does the widget say there isn't enough data?
Below eight matching candidates the charts are replaced with a note telling you the count. Averages and conversion rates drawn from a handful of candidates are misleading, so the widget says so rather than showing them. Try a wider date range or a larger set of jobs.
Does it show how long each stage takes?
Yes, on the Average Time in Stage chart. One thing to be aware of: if you reject candidates automatically, those steps will look faster than they really are. We can't currently tell an automated rejection apart from one made by a person.
Can I see why candidates were rejected?
Not in this release.
Will two people looking at the same dashboard see the same numbers?
Yes. Every setting is saved with the widget rather than per person. If two people need different views, add two widgets.
Why can't I resize the widget?
The Advanced Hiring Funnel sets its own height based on what it's showing, so it doesn't have a resize handle. The three charts need a minimum amount of room to stay readable.
Can I export the data?
Yes. Click a step or a segment and use Export CSV for the candidate list, choosing your columns with Customise. For the funnel's step table instead, open the drill-down from the widget's table icon and use Export funnel summary.
