The Hiring Workflow will contain all of your candidates that have applied for the job. Within it will be the various stages in the hiring process and each of these stages will have candidates in them. This article explains how to move them between these stages.
First, browse to the navigation on the left-hand side of your screen and select 'Manage Jobs' under the 'Jobs' section:
Click on the job title of the relevant job.
From here you can select either the 'All Candidates' tab or select one of the individual stages, e.g. 'Applied'. Next, tick the checkbox next to each of the candidates that you wish move:
Then, click the 'Move Stage' button:
Select the stage that you wish to move the candidate(s) to.
You'll be asked to confirm your choice, click Yes.
You will now see those candidates in the stage you just moved them to. Note that this won't trigger any emails or other actions to take place.
You may now want to email those candidates and the following help article explains how: How to Email a Candidate
Permissions Required for Stage Transitions
To move candidates between stages, you must have the appropriate permissions. If you cannot see the stage control or dropdown, it is likely due to insufficient permissions. Here’s how to resolve this:
Request Permissions: Ask your account administrator to grant you the permission named "Move applicants between workflow stages or between jobs." To do this, the admin should navigate to Company > User Management > [Your User Profile] > Permissions and enable the required permission.
Role-Specific Permissions: If you are a Hiring Manager or in a similar role, ensure you have the necessary permissions to perform stage transitions.
Troubleshooting Common Issues
If you encounter issues while trying to move candidates between stages, consider the following:
Missing Stage Control: If the stage dropdown is not visible on a candidate’s profile, your user role likely lacks the required permissions. Contact your account administrator to enable the necessary permissions. Once granted, the stage dropdown will appear.
Restricted Access: If you cannot move candidates from one stage to another (e.g., "Applied" to "HM Review"), it may be due to restricted access. Request the required permissions from your admin or have a recruitment-team member perform the stage change.
FAQs
Why can’t I move a candidate to the next stage?
If you don’t see the "Move stage" option, your role may only have view permissions (e.g., comments and interviews). Ask your recruitment lead or administrator to grant you the necessary permissions. Once updated, the "Move stage" option will appear.
Can a Hiring Manager move candidates between stages?
Yes, but only if they have the permission "Move applicants between workflow stages or between jobs." This permission must be enabled by an account administrator.
