How to Access Candidates Who No Longer Appear in Your Pinpoint Jobs or All Candidates Page

Managing candidate data in Pinpoint involves understanding data retention policies, manual deletion processes, and permissions for accessing archived or closed job candidates. This article explains why candidates may disappear from the system and how to locate archived candidates.

Candidate Data Deletion: Causes and Policies

1. Data Retention Policies

Pinpoint enforces data retention policies to comply with data protection regulations. Candidate records are automatically deleted when the retention period set by your organization elapses. This ensures compliance with privacy laws and data protection standards. 2. Manual Deletion by Users

Candidates may also disappear if they are manually deleted by a user with the appropriate permissions. For example, if a team member deletes a candidate, their profile will no longer appear in the talent pipeline or job channels. This action is irreversible. If this has happened, please reach out to the support team, and they will be able to restore these candidates.

Accessing Candidates in Archived Jobs

1. Permissions for Viewing Archived Jobs

Candidates are not archived in pinpoint, but jobs containing candidates can be archived, meaning only users with the correct permissions will be able to see teh candidates in archived jobs. To access candidates from archived or closed jobs, ensure you have the "view archived jobs" permission. With this permission, candidates from archived jobs will appear in the All Candidates search.

2. All Candidates page

The All Candidates tab includes profiles from both active and archived jobs, provided they have not been deleted due to data retention policies or manual actions. This feature allows you to search and review candidates across all job statuses.
