Blocking Duplicate Candidates across Jobs

Pinpoint can now block a candidate being manually added to a job if they already exists on another job in your account - not only on the same job. This helps you avoid paying duplicate placement fees when two recruitment agencies submit the same person for different roles.

Before you start

  • Permission needed: you will need to be a "Company Manager" user to have access to enable the setting in Company > Profile > Preferences

  • Scope: it does not affect candidates who apply themselves through your careers site - only candidates added from inside Pinpoint.

How it works

When the setting is on and you try to add a candidate who already exists on another job, Pinpoint blocks the add and shows a message naming the job the candidate already applied to. This happens before any placement-fee claim can attach to the new application.

To enable the setting, go to Company > Profile > Preferences, and toggle the setting on in here.

This applies to when:

  • manually adding a candidate at job-level,

  • creating from résumé / CV - in this approach, a notification is sent to the user telling them it was unsuccessful

  • using the candidate ‘Add to job’ functionality

When the setting is off, Pinpoint behaves as before and only checks for duplicates within the same job.


Tips

  • Use the job named in the message to find the candidate's existing application and check which agency (or source) submitted them first.

  • This is most useful for teams working with multiple agencies on overlapping roles.


FAQs

Q: Does this stop candidates applying to more than one of my jobs themselves?

A: No. The check only applies when a candidate is added from inside Pinpoint, not when candidates apply through your careers site.

Q: Is it on for everyone automatically?

A: No - it's off by default and turned on per company in Company > Profile > Preferences

Q: What counts as the "same" candidate?

A: Pinpoint uses the same matching it already uses for same-job duplicate detection, now extended across all jobs in your account.
