Why are interview slots not appearing or unavailable for candidates in Pinpoint?

Written by Emilia Carvell

Overview

Interview scheduling in Pinpoint can sometimes result in candidates not seeing available slots, even when they have been set up. This issue often arises due to mismatches between interview template durations and slot lengths, calendar integration problems, or scheduling conflicts. This article provides a comprehensive guide to resolving these issues and ensuring candidates can view and book interview slots successfully.

Common Issues and Resolutions

1. Mismatch Between Slot Duration and Interview Template

One of the most common reasons for unavailable slots is a mismatch between the interview template duration and the defined slot lengths. For example:

  • If the interview template is set for 1 hour but the manually defined slots are only 45 minutes, candidates will not see any available times. Ensure that the slot duration matches or exceeds the interview template duration.

2. Calendar Integration Issues

Pinpoint relies on calendar integrations (e.g., Cronofy) to display availability. If calendars are not connected or show conflicts, slots may not appear. To resolve this:

  • Ensure all interviewers’ calendars are connected to Pinpoint.

  • Check for conflicting events (e.g., meetings, all-day busy blocks) in the interviewer’s personal calendar and adjust as needed.

3. Weekly Schedule configuration

The weekly schedule feature allows you to specify the times during the week that you are available for interviews. This serves as the baseline for your availability - for example if you do not work fridays, you can remove fridays from your weekly schedule, so the system will never look for available times on a friday.

If the weekly schedule you set is too narrow (eg 1 hour in the morning every day) then this drastically limits the time that pinpoint can look for your available interview times. - read more about setting up your weekly schedule here

4.. Buffer Settings

Buffer times between meetings can block otherwise valid slots. For example:

  • A 1-hour interview with a 15-minute buffer requires at least 1 hour and 15 minutes of free time. Adjust buffer settings to restore eligible slots.

Best Practices for Configuring Slots and Calendars

  1. Match Slot and Template Durations: Always ensure slot lengths are equal to or longer than the interview template duration.

  2. Connect Calendars: Verify that all interviewers’ calendars are integrated with Pinpoint.

  3. Check Buffer Settings: Use minimal buffer times to maximize available slots.

  4. Check your Weekly Schedule

  5. Review Personal Calendars: Ensure no conflicting events block availability.
