Inviting candidates to interviews in Pinpoint is straightforward and can be done in three different ways. This article provides a detailed guide on each method, including step-by-step instructions for scheduling interviews efficiently within the platform.
How do I Invite Candidates to Interview?
To invite candidates to interviews, you can use any of the following three methods: click the Interview button on the candidate's profile, schedule a new interview from the applicant's Interview tab, or select candidates from the list provided. Below are the detailed steps for each method.
Click the Interview Button
In any candidate's profile, click the Interview button, which will guide you through various options to select how and when to conduct the interview.Schedule a New Interview
Navigate to the applicant's Interview tab and click the Schedule New Interview button to begin setting up a new interview.
Select Candidates from the List
Choose one or more candidates from the candidate list, making sure they have already been moved to an Interview stage. Note that selecting multiple candidates disables the option to pick an interview time on their behalf. You will need to use the candidate self-scheduling system.
Once you have chosen your preferred invitation method, you can proceed to manage how each interview will be scheduled.
How do I send out an Interview Invite?
When inviting candidates to interviews, you will encounter various scheduling options. Below are the steps to follow once you've clicked the Interview button on a candidate's profile.
Select the Interview Workflow Stage
Choose the Interview Workflow Stage for the interview you’re inviting the candidate to. This step determines which interview template will be utilized. If the candidate isn't already in this workflow stage, they will be moved there upon sending the invite.
Interview Timing
Select whether you will pick the interview time for the candidate or if the candidate will select their own time using the self-scheduling system.Select Interviewers
Determine whether some or all of the listed interviewers need to attend this interview. List all applicable interviewers so the system can intelligently assign them based on availability and workload. Choose the Interview Team
Select the interviewers for the meeting, including the conferencing host and platform if applicable. Conferencing host determins who's calendar the event is created on, and the conferencing provider adds a video link to the meeting.
Set the Interview Time
If you’re picking a fixed time and date for the interview, use the time picker to select the time directly. Alternatively, if interviewers have calendars synced with Pinpoint, check their availability before setting the time.

If you allow candidates to self-schedule their interviews, they can view available slots based on the team's collective availability and choose a suitable time. You can also define specific slots by adding them to the Interview Slots page for more control.
FAQs and Troubleshooting
How do I delete an interview invitation?
To delete an interview invitation, navigate to the candidate's profile and find the scheduled interview. You can remove it by clicking on the three dots next to the interview and selecting the delete option.
What if the candidate doesn’t respond to the interview invitation?
If a candidate does not respond to their interview invitation, you may want to follow up with them either via email or through your usual communication channels. It’s also helpful to resend the invitation.
Can I change the interview date after sending the invite?
Yes, you can change the interview date for a scheduled meeting. Simply access the candidate’s profile, locate the interview details, and select the option to reschedule the interview.
Why did the candidate get a different start time than the Interview team?
The candidate will be sent a message with the start time in their selected time zone. If you and the candidate are in different time zones, this will be a different time than what you see on any notification emails or in the system. If the candidate's browser is in a different time zone or they use VPNs, the system will use the browser's default time.
