Task Manager

The Task Manager lets anyone on your team create, assign, and track action items throughout the hiring process.

What are tasks?

Tasks let you request actions from other Pinpoint users — or yourself — with a set deadline. You can assign a task to one person, multiple people, or a role (such as "all hiring managers on this job"). When a task is assigned to multiple people, each person receives their own individual copy.

Each task includes:

  • Title – a short description of what needs to be done

  • Description – additional context or instructions

  • Due date – the deadline for completion

  • Assignee(s) – the user(s) or role responsible for the task

Tasks can be linked to:

  • Jobs

  • Candidate applications

  • Talent pipeline candidates

  • No specific record (ad hoc tasks assigned to a user)

How do I create a task?

There are multiple ways to create a task in Pinpoint, depending on what you want to link it to.

Ad hoc tasks (not linked to a job or candidate)

Click the Task Manager icon in the top-right corner of any Pinpoint page (next to the notifications icon)

Click "create task"

Enter a title, description, due date, and assignee

Click Save — the task will appear as outstanding in your Task Manager

Tasks linked to a job

Open the relevant job & click Create task to the right of the job status

Complete the task details — the task will be automatically linked to the job

The task will appear in your Task Manager with a direct link back to the job

Tasks linked to a candidate application or talent pipeline candidate

Open the relevant candidate application or talent pipeline profile & Click Create task to the right of the candidate's name

Complete the task details - The task will appear in your Task Manager with a direct link to the candidate's application

Tasks created via automations

You can use Pinpoint's automation builder to create tasks automatically when certain conditions are met.

When building your automation, select Create task as the action & choose whether to link the task to the job, candidate, or user

For the assignee, you can select:

  • A specific user

  • Hiring Manager — the task will be assigned to the hiring manager named on the triggering job

  • Recruitment Manager — the task will be assigned to the recruitment manager named on the triggering job.

Where can I see my tasks?

All tasks — regardless of how they were created — appear in the Task Manager, accessible from the top-right corner of any page in Pinpoint. Tasks linked to a job or candidate include a direct link to that record.
