Fillable PDFs make it easy to send documents, such as NDAs or agreements, for candidates to complete, sign, and return, all within Pinpoint.
How do I create a PDF document template?
Go to Settings → Templates → Document templates.
Select Create new template.
Choose the Fill and sign option (this is only for PDFs).
Give your template a name and upload your PDF (e.g. an NDA).
Optional: set scope visibility if you want to limit who can use it.
How do I add Fields to my PDF?
When you upload your PDF, Pinpoint automatically includes Signature, Initial, and Date fields. You can add more:
Create new fields (e.g. short text for Address or Name).
Save the fields first so you can add them to the document.
Drag and drop fields into the right place on your PDF.
Make text boxes bigger if candidates need more space.
If you use the same field (like Name) more than once, candidates only need to fill it once.
Tip: The order of fields in the right-hand list controls the order candidates see them in. Rearrange if needed.
How can I send the Candidate a PDF?
You can send the document manually or automatically:
Automatic: Add the document as a stage action so it sends as soon as a candidate moves to that stage (e.g., before a team interview).
Manual: Open a candidate’s application → go to Documents → select the template → Send.
What does the Candidate see when I send a PDF?
The candidate receives an email asking them to review and complete the document.
They’ll be guided through the fields in the order you set.
Once signed, they can download a copy or email it to themselves.
In Pinpoint, you’ll see the document status update to Accepted.
Clicking the document name shows you the completed PDF.
