Hide applications from a newly hired candidate who is added to the platform as a user

Often times, newly hired candidates are invited to join the platform as Users to fill roles such as Interviewers, Hiring Managers, Admin, etc. Depending on the Visibilities that they are assigned, those newly added users may have access to the application that they submitted when pursuing the role that they were hired for. This would allow them to also access sensitive information relating to their recruitment and hiring, such as completed scorecards, comments, ratings, and notes.

If you would like to prevent your platform users from accessing their application and related data once invited to join the platform, you do have the option to “Hide” their application from them, by using the Hide Application feature.

To apply this you would need to have either the permission settings to “Invite and Manage Users” or “Manage user’s roles, locations, and departments” enabled.

To Hide an application from a User:

  1. From the left navigation menu of your dashboard, navigate to Company > User Management, and select the Employees tab

  2. From the Employee list, select the User that you wish to hide an application from

  3. Once the User has been selected, select the Visibilities tab, and scroll down to the bottom of the Visibilities page

  4. Here you will find the Hide Applications section. You can then enter the email address that the user used when submitting their application in the field adjacent to the Hide Applications title

Once you have entered the email that the user used when submitting their application, select the Submit button

In completing the above steps, the user will not be able to access the application that they submitted or any sensitive data pertaining to that application.
