Getting Set Up with Pinpoint's Requisition System

In some organisations, it's common to make a formal request to hire new people to the business, ahead of actually creating a job vacancy and beginning the recruitment process.

This request to hire is known as a requisition, and Pinpoint's built in requisition system can be set up to allow members of your hiring team to fill in an online form to request new hires.

The completed form can then be run through an approval process, and once approved, a new Pinpoint job can be created using the details submitted in the requisition, such as where the job should be located, and what salary bracket it should fall into.

In order to set up Pinpoint's requisition system, you'll need to complete these specific steps:

Prerequisites

  1. In order to configure the job requisition forms and sign-off workflows, you'll need to have the "Company" permission assigned to you if you don't have it already.

Steps to successfully set up Requisitions

  1. Create your requisition form templates. You may want to have different Requisition forms for people to fill out for differing scenarios, such as whether they're asking to replace an existing person, or want to hire net new headcount. See below for instructions on how to do that.

  2. Configure Sign-off workflows for each requisition template you create, to dictate who should approve them, and in what circumstances

  3. Designate the users you'll want to be able to create requisitions and new jobs from requisitions, and assign them the Requisition Manager role on their user profile.

Optional Extras

  1. Once a requisition has been approved, the details from the completed requisition form will be added into the New Job that's created. If there are details from the requisition form you want to keep on file that don't have a built-in place to live in the New Job page, you may want to consider adding Custom Fields to your New Job page to store that data in.

  2. Typically, any changes to a requisition will cause the Sign-off workflow to restart. If you would like to allow users to change the requisitions without sending them back for approval, then go to User Management and select the proper user. Navigate to the Permission tab and scroll down to Job Administration. Then select "Edit requisitions without re-triggering an approval workflow" and update.


Creating your Requisition Form Templates

Step 1
After Pinpoint's Customer Success team have enabled the Requisition system in your platform, from the left hand menu bar, select the Templates menu, and then the Job Requisitions page. Press the Create New button, and give the form a title.

You'll likely want to create a few templates based on the main different scenarios people request to make new hires, such as new vs replacement headcount.

Step 2

Pinpoint will ask you which fields you want to have available for people to fill in on your requisition form.

  • Some will be built in by default, but you can add additional ones or remove any that aren't necessary.

  • You can re-order the questions by dragging and dropping them from the 6 small dots on the right hand side.

  • Each question will need a title, a description and a field type. You can also have the answer given copied into the New Job form if there's an appropriate field for it to be mapped to.

Step 3

Once at least one requisition template has been added to the system, new options will be added to your platform's left hand menu bar, for places to create new requisitions, and manage existing requisitions.


Once you have configured your templates, assigned sign-off workflows and give your users the correct roles to manage requisitions, you can start submitting New Requisition requests. Follow this guide on how to do that.
