Set up and review candidate surveys in Pinpoint

Configure Pinpoint to automatically survey candidates and review the results for valuable insights.

Pinpoint can automatically survey candidates who have been part of your hiring process to gauge their satisfaction, giving you vital insight and helping you improve the candidate experience.

  • The surveys include an email requesting an NPS-style 1-10 score, with the option to provide specific feedback after the score.

  • The surveys are sent after a set time period you choose, after candidates have either been rejected (with a rejection email and tag) or hired.


Setting Up

Step 1

Go to Templates under 'Settings', select the Surveys tab, and toggle it on so it shows as Enabled.

Step 2

Once enabled, enter the email subject, wording, thank-you message and set how long after the candidate's journey ends they receive the survey.

You can also add whether interview attendance is required and whether the candidate has reached a certain stage group (optional).

You may also add additional questions with a variety of response types, such as long text, multiple choice, etc.

Once complete, make sure to select Preview Email and Preview Survey to see how it will look for your candidates:

What triggers a candidate being sent a survey?

  • Rejected candidates will receive the survey after you tag them as rejected and send a rejection email. A rejection tag is typically applied when you add a rejection reason or send a rejection email, which provides practical context for how the tag is applied. If you don't apply a rejection tag, the candidate will not receive a survey. This ensures that only candidates with a clear rejection status are surveyed.

  • Hired candidates will receive the survey after you move them to the Hired stage in your hiring workflow.

Tips!

  • Use tags effectively: Apply rejection tags consistently to control survey distribution to rejected candidates.

  • Review stage settings: Regularly review and update the stages where you send surveys to align with your feedback goals.

  • Communicate clearly: Tell candidates the survey's purpose to encourage participation and meaningful feedback.

Reviewing the results

The results of the survey can be viewed on the Candidate Surveys page in the Insights area of Pinpoint. See how candidates feel about your hiring process - scores, trends, and feedback in one place, filterable by team, location, and more.

Key metrics

Response Rate — % of surveyed candidates who completed it. Always based on the last 90 days, regardless of date filters.

Total Responses — Number of completed surveys in the selected period.

Candidate Experience Score — Headline NPS score (-100 to +100), based on candidate ratings of 1–10:

  1. Detractor - They score 0-6 in the survey and may offer bad word-of-mouth publicity

  2. Passive - They score 7-8 in the survey and had a positive experience of the process but are unlikely to promote you

  3. Promoter - They score 9-10 in the survey and had an excellent experience during the recruitment process and are likely to tell people about their experience

Score Over Time — Line chart of the score across your selected period, useful for spotting the impact of process changes (new job boards, interview training, faster turnarounds).

Survey Responses — Feed of individual responses with rating, comments, and other answers, plus a link to the candidate's application. Click View full response for full detail.

Comparisons — Breaks the score down by:

  • Hiring Manager

  • Location

  • Department

  • Job (requires filters applied first)

Filters

Filter by date range, Department/Location/Division, Job, Channel, Candidate stage, or Recruitment/Hiring Manager. All widgets update in real time.

Exporting

Click Export (top right) to download the data as filtered. The file is generated in the background and emailed to you once ready.
