Automatically invite candidates to a group assessment

Written by Emilia Carvell

You can now invite candidates to a group assessment automatically when they reach a stage. Add a Send Group Assessment Invite stage action to a Group Assessment stage. Every candidate who moves into that stage gets the invite email and books one of the sessions that still has space.

Who can set this up

Adding a stage action to a job needs the "Create and manage jobs" or "Edit company-level settings, configure integrations and manage templates" permission. Creating the group assessments themselves needs "Create group assessments" or "Create and manage group assessments".

Before you start

You need a group assessment with at least one upcoming session that has space. Group assessments live in the left-hand menu, under your company's name for them. The invite email text is on the assessment's Communications tab.

The action only appears on stages whose type is Group Assessment.

How to add the action

  1. Open the job and go to Edit > Edit Stages. For a workflow template, go to Settings > Templates > Hiring Workflows instead.

  2. Click the Group Assessment stage to open it.

  3. Under Stage Actions, click Add stage action.

  4. Choose Send Group Assessment Invite.

  1. Pick the group assessment. Pinpoint starts with the assessment already linked to the stage, and you can change it.

  2. Check the card under the picker. It says Has upcoming sessions with space available when candidates will have something to book.

  3. Click Add Action, then Save Stage.

From now on, each candidate who moves into the stage is sent the invite. This happens whether you move them one at a time, in bulk, by dragging them on the board, or through a workflow automation or the API.

If there are no sessions to book

If every upcoming session is full or in the past, we’ll warn you. The picker adds "(no sessions available)" to the name, and a yellow warning appears on the form and on the stage card. Candidates are still invited, but they have nothing to book until you add a session.

💡 Good to know

  • Each candidate gets one invite per assessment. Moving them out of the stage and back in does not send a second email.

  • If you withdraw a candidate's invite and then move them back into the stage, they get a new invite.

  • Invites are not limited by the number of seats. If you move 200 candidates into a stage for an assessment with 20 seats, all 200 are invited.

  • The action runs when a candidate moves into the stage. Candidates who are already in the stage when you add it are not invited automatically, so invite them by hand.

  • Changing a job's hiring workflow does not send invites.
