Managing Tags

Rename, retire, and delete tags to keep your system clean

Written by Lia Bartosz

You can rename and retire tags from Tag Management.

Renaming a tag changes it everywhere it is already used. Retiring a tag stops people adding it to new records, but every candidate and application that already has it keeps it.

✅ Permissions

You need the Edit company-level settings, configure integrations and manage templates permissions to use tag management.

It' in the default administrator access group.

🔒 Availability

This feature is being released for early access. It can take up to 30 minutes after it is turned on before renaming and retiring appear, while your existing tags are moved across.

If you're interested in trying it out, reach out to your Customer Success Manager.

Accessing Tags

To access tags:

  1. Expand Settings.

  2. Select Tag Management.

  3. Use Search tag categories... to find a category, or scroll the list.

  4. Click the arrow next to a category to see its tags.

Each category and each tag shows how many records use it. A retired tag shows a grey Retired label.

Renaming a Tag

To rename a tag:

  1. Open the ... menu next to the tag.

  2. Click Rename tag.

  3. Type the new name.

  4. Click Rename.

The new name will show straight away on every candidate and application that has the tag, in the tag pickers, and in any automation that uses it. Nobody has to re-tag anything.

Retiring a Tag

Individual Tag

To retire a tag:

  1. Open the ... menu next to the tag.

  2. Click Retire tag.

  3. Click Yes, retire.

The confirmation tells you how many records already have the tag. Those records keep it, and you still see it on them.

After you retire a tag, it no longer appears in:

  • the tag picker on candidates and applications

  • the Tags filter on candidate lists

  • the tag filter in Report Builder

  • the tag options when you set up automation conditions

All Tags

To retire every tag in a category at once:

  1. Open the category's ... menu.

  2. Click Retire all tags.

Restoring a Retired Tag

There is no restore button.

To restore a tag:

  1. Click + on the category.

  2. Add a tag with exactly the same name.

The retired tag comes back, with all the records that still have it.

Deleting a Tag

To delete a tag or category, click:

  • Delete tag in the tag's menu, or

  • Delete category in a custom category's menu.

Deleting removes the tag from every record that has it, and you cannot undo it. Retire the tag instead if you want to keep your history.

Considerations

Below are some points worth considering when managing your tags:

  • Pinpoint's own tags, such as Internal and Duplicate, cannot be renamed, retired or deleted. They have no menu.

  • A tag name must be unique in its category. If you rename "Ruby" to a name that already exists there, Pinpoint tells you and keeps the old name. You can still change the capitals of a tag's own name, for example "ruby" to "Ruby".

  • Deleting a tag does not run any "tag removed" automations.

  • If an automation, integration, CSV import or API call adds a retired tag to a record, the record gets the tag. The tag stays retired, so people still cannot pick it.

  • Delete category only appears on categories you created.
