How do I access the data behind my Insights Hub widgets?

Written by Emilia Carvell

Every Insights Hub widget summarises your recruiting data in a chart — now you can go further. The drill-down panel opens directly from any widget and shows you the individual records behind the numbers. From there you can explore them in a data table, customise which columns you see, and export to CSV.

You'll need the "Create and view insights" permission to use this feature.

How do I open the drill-down panel?

Across the top of the panel you'll see the widget name, a row of labels summarising the metric, time period, group by, and any active filters, and a Configure button for adjusting the widget settings.

Below that are two tabs:

  • Visualisation — the widget chart, displayed at a larger size

  • Data table — the individual records that make up the chart

How do I use the Visualisation tab?

The Visualisation tab shows the same chart as the dashboard widget at a larger size. All chart types are supported, including Line, Stacked Bar, Horizontal Bar, Donut, Headline Number, Funnel, and Candidate Experience Chart.

How do I explore the data table?

  1. Click the Data table tab.

  2. The table shows one row per underlying record — one application, one job, one interview, and so on.

  3. Click a column header to sort the data by that column (available on select columns).

The columns shown depend on the widget's metric. An applications widget shows columns including Candidate Name, Job Title, Stage, Application Date, and Source, for example.

How do I export data to CSV?

  1. In the Data table tab, click Export.

  2. A CSV file downloads to your computer containing only your currently visible columns.

To include additional columns in the export, use Columns to enable them before downloading.

If the export takes more than a few seconds: for larger datasets, the file may take a moment to prepare. A notification will appear on screen confirming the export is in progress — leave the tab open and the download will begin automatically once ready. For especially large files, the CSV may be routed to the email your account is set up with.

How do I edit a widget's settings from the drill-down panel?

  1. Click Configure in the panel header.

  2. Update any of the following settings:

    • Metric — choose from the grouped metric dropdown

    • Visualisation type — available options depend on the metric selected

    • Time period — set a calendar or rolling date range

    • View by — for Line and Stacked Bar charts; controls the time axis breakdown

    • Group by — group data by a dimension such as Location, Department, or Source

    • Filters — narrow the dataset to a specific subset

    • Widget name — toggle on to set a custom title

  3. Click Save changes. The chart and data table update immediately.

FAQs

Why can't I see certain records I'd expect in the data table?

The data table only shows records you have permission to view. If your account has visibility restrictions, those apply in the drill-down as well. On shared dashboards, each person sees data based on their own permissions.

Do dashboard-level filters affect the drill-down?

Yes — any filters applied at the dashboard level flow through to both the chart and the data table in the drill-down panel.

Can I search for a specific record in the data table?

In-table search isn't available in this release. To search for a specific candidate, job, or record, use the Report Builder under Reporting in the left-hand menu.

Why is my CSV export taking a long time?

For larger datasets the file takes a moment to prepare — a notification will confirm it's running. Leave the tab open and the download will start automatically.

Can I change the column layout across all of my widgets at once?

Column preferences are saved per widget, so you'll need to customise each one separately.

The chart and the data table seem to show different numbers — why?

Both views use the same underlying data. Double-check that no filters were changed while the panel was open, and confirm the time period and group by settings are what you expect.
