One critical part of the hiring process is issuing an employment contract to your hired candidate. You can use Pinpoint's onboarding module to send contracts to candidates. Candidates can then use Pinpoint's built in e-Signature function to review and sign the contract.
Preparation
In your onboarding process, create a Form step.
Fill out the Step Name and Description boxes explaining the purpose of the step. Here we have set the Step Name as "Your Contract" and populated the Description field with a line of explainer text.
Scroll down the page and click on Add Question.
Select the ESignature (DropboxSign) Unique Attachment Question Type.
Set the Title, Details, Required and Reporting Name values for this question - we'd recommend using the Title "Your Contract" and in the Details giving instructions for the candidate.
When you are done creating the step, click on Save.

Sending a contract to a candidate
When you assign the candidate to the Onboarding process, in the dialog box shown to you, you'll see a section titled ESignature (DropboxSign) Unique Attachments.
Upload the contract document that you need the candidate to sign either by dragging'n'dropping the file into the box, or by clicking on the box to upload the file.
When you see the file name in a green shape, as below, you will know that the file has been uploaded to Pinpoint successfully.
The candidate will then be able to review the contract and sign it once they have reached the relevant stage in the onboarding process.
Frequently asked questions
I want to collect information in the Onboarding process that I will use for preparing the contract (i.e. I won't be able to attach the Unique Document at the point of assigning the candidate to the onboarding process), how do I manage the contract sending process?
That's ok, and it's a relatively common occurrence. This is how we recommend you handle this in Pinpoint:
Preparation
As before, when setting up the Onboarding process, create a form step containing a unique attachment question for the contract.
Just before the candidate-facing step containing the unique attachment question, create a Team Member Action step called ‘Prepare contract’ (or similar). This will tell a team member on your side to prepare the contract. They will need to follow the steps below to include the contract in the onboarding process.
Sending contracts to candidates
When assigning the candidate to your onboarding process, leave the Unique Attachment empty for that candidate's contract step. You will see a warning "Please consider that candidates may be unable to complete their onboarding requirements if any of these files are missing.". Please ignore this warning, as you will upload the candidate's contract later on.
When the team member is prompted to upload the contract, they'll need to go to Onboarding > Candidates to find the candidate. Click on the menu next to the candidate. In the screenshot below, the candidate is Boyd Fadel.
Select "Edit process settings".
When the Edit Process Details screen appears, scroll down to the ESignature (DropboxSign) Unique Attachments section. Drag'n'drop or click on the box to upload your contract. Once the file has uploaded successfully, click on Save.
The candidate will then be able to review the contract and sign it once they have reached the relevant stage in the onboarding process.
How can I be notified when a candidate signs a contract?
The candidate owner can be notified when the contract signing stage of the onboarding process is complete. To turn this on, when creating / editing the stage, make sure that the "Notify on Completion?" option is set to Yes.
