Understanding Time Zone Behavior in the Platform

Find out how the platform handles time zones, including differences between candidates and interviewers, and time zone changes

Written by Lia Bartosz

There are a few places you can change the time zone, including:

The platform translates this information in real time - accounting for changes, such as Daylight Savings - so you should always see the accurate time for the time zone you've selected.

ℹ️ Note

Using a VPN can affect Pinpoint's ability to choose the "Current timezone" accurately. Make sure you bear that in mind when scheduling and attending interviews!

Changing the Time Zone

Company Profile

This is the time zone in which all time-related information will be displayed in the platform, unless someone overrides this setting in their user preferences.

To change your platform time zone:

  1. Expand Company.

  2. Select Profile.

  3. Scroll down to Time Zone (in the Details tab).

  4. Select your Time Zone from the dropdown.

  5. Click Save at the bottom of the page.

User Preferences

If you operate in a different time zone to the rest of your organization, you can override the time zone settings for yourself.

To change your time zone:

  1. Click your Profile icon in the top-right.

  2. Select Settings.

  3. Go to the Account tab.

  4. Select your Time Zone from the dropdown.

  5. Click Update Details.

The platform will now translate all time-related information to the time zone you selected.

Interview Invites

The time zone a candidate sees depends on how the interview is scheduled.

Candidate Picks a Slot

If the candidate books their own slot (from your availability or from slots you've offered), the booking page shows times in the candidate's local time zone, based on their device settings.

The candidate can change this using the Your time zone is set to dropdown on the booking page. Their confirmation email and interview details will show the time zone they booked in.

Interviewer Chooses a Slot

If you set the date and time yourself, you can also choose a Timezone on the Invite to Interview screen. This defaults to the time zone set in your Preferences.

In this instance, the:

  • Candidate's confirmation email will show the interview details in this time zone, along with the time zone name. However, the calendar invite attached to the email will appear in the candidate's own calendar time zone.

  • Interviewers' email notifications will show the interview details in their preferred time zone. The calendar invite attached will also appear in each interviewer's own calendar time zone.

✅ Tip

If the candidate is in a different time zone to you, select their time zone when scheduling. This way, their confirmation email shows the time in their local time.

You can find more information on this area in our guide on inviting candidates to interviews.

Accounting for Time Zone Changes

Daylight Savings Time

You don't need to adjust interview times for clock changes. When you create slots or schedule an interview, the time you enter is read in the time zone you've selected, using the Daylight Saving rules for that date.

For example, if your selected time zone is Europe/London and you book 10:00 on a date after the clocks go back, the interview is booked for 10:00 GMT, and the candidate's email will shows 10:00 GMT. Booking it today makes no difference.

Candidates who book their own slot see times in their own time zone, and these also account for any clock changes on the date they choose.

✅ Tip

Always choose a location-based time zone (e.g., Europe/London) rather than a fixed offset (e.g., ETC/GMT+5. Fixed offsets don't change with Daylight Savings changes.

⚠️ Caution

If you use Bulk Slot Creation across a date range that includes a clock change, the slots after the change may be an hour off. Create slots separately for each side of the clock change, and check them in the calendar afterwards.
