AI Token Usage

The Tokens tab in your Billing area shows how your organisation uses Pinpoint's AI features. You can see AI token usage for this month and last, usage over time, and a breakdown by feature and by user, with filters and a CSV export. If your account has a monthly AI spend budget, the tab also shows how much of it you've used and warns you as you get close.

Please note - You will need the "View subscription, invoices, payment details, and credit usage" permission to access the AI Token Usage Tab.

Viewing your AI token usage

Step 1: Open the Tokens tab

Go to Company → Profile→ Billing and select the Tokens tab, alongside Subscription and Credits.

Step 2: Read your usage at a glance

The AI Token Usage section shows Usage so far this month and Usage last month, plus when your usage resets: "Token limits reset on the 1st of each month (N days left)." If your account has monthly AI spend budgets, a usage bar shows how much of your budget you've used.

Step 3: Explore usage over time

The Tokens over time chart plots daily token usage. By default the tab shows the last 90 days.

Step 4: Break usage down by feature or user

Switch between the Features and Users breakdowns:

  • Features lists each AI feature (Hiring Copilot, Job Copilot, AI Candidate Filters, Job Evaluations, Interview Notes and Careers Site Chatbot) with the number of users, its limit (Monthly limit or No limit) and tokens used.

  • Users lists tokens used per person. Usage that isn't linked to a specific person, such as candidates using your careers site chatbot, shows as Unattributed.

Step 5: Filter and export

Use the Date range, Feature and User filters to narrow the view. The total, chart and breakdowns all update to match. Click Download CSV to export the feature breakdown for the filtered period.

Spend budgets and warnings

If you've agreed monthly AI spend budgets with Pinpoint, the Tokens tab keeps you ahead of them:

  • At 80% of your budget an amber notice appears: Approaching your monthly AI spend limit. It includes the date you're projected to reach the limit at your current pace.

  • At 100% the notice turns red: Monthly AI spend limit reached. As the notice says, nothing is lost and anything AI already produced stays in place.

Budgets reset on the 1st of each month. To increase one, click Request more usage on the notice. This alerts the Pinpoint team, and you'll see the confirmation "Notification sent. Feel free to also follow up with your Customer Success Manager if needed."

Tips

  • Token usage measures AI activity. It isn't a bill, and the Tokens tab doesn't change what you pay.

  • The usage bar always reflects the current calendar month, even while the chart and breakdowns follow your date filters.

  • Data refreshes every few minutes, so very recent activity can take a moment to appear.

Troubleshooting

I can't see the Billing area or the Tokens tab.

You need the View subscription, invoices, payment details, and credit usage permission. Ask an admin at your organisation to grant it under User Management → Permissions. If you have it and still can't see Billing, ask your Pinpoint Customer Success contact.

The tab says "AI token usage is not yet available for this account."

This can also appear during a brief service interruption, so try again in a few minutes. If it persists, contact Pinpoint support.

A feature shows "No limit".

No monthly budget is set for that feature. If you'd like one, speak to your Customer Success Manager.

FAQs

Q: What are tokens?

A: Tokens are the units AI models use to read and write text; one token is a few characters. They're the standard way to measure AI usage.

Q: What happens when we reach our monthly limit?

A: You'll see the Monthly AI spend limit reached notice on the Tokens tab, and nothing you've already produced is affected. Use Request more usage or contact your Customer Success Manager to adjust your budget. Budgets reset on the 1st of each month.

Q: Why is some usage "Unattributed"?

A: Some AI activity isn't tied to a signed-in teammate, such as candidates using your careers site chatbot. Usage from AI Candidate Filters and Interview Notes also currently shows as Unattributed.

Q: Can I set or change our budgets myself?

A: Not from the Tokens tab. Budgets are managed with your Pinpoint team, so use Request more usage or speak to your Customer Success Manager.

Q: Does token usage use my Pinpoint Credits?

A: No, credits and tokens are separate. Credit-based features like background checks appear on the Credits tab. AI Match Score usage now appears there under its own name too.
