Notifications for Pinpoint background checks

Pinpoint background checks send a notification whenever something happens that needs your attention — whether that's a check coming back with a result you need to review, an invite that didn't reach the candidate, or a complete report being ready to view. This article explains which notifications you'll receive, when they trigger, and how to manage them.


What notifications you'll receive

There are two background check notifications you can set preferences for

  • Pinpoint check action required — for any Pinpoint background check that needs your attention, including when the check completes.

  • New background check report received — when a check ordered through another provider you have connected (such as Checkr or HireRight) completes and the report is ready.

For Pinpoint background checks, Pinpoint check action required is the single notification you need to keep an eye on. The New background check report received notification is only relevant for background checks ordered through any external integrations.


When does the "Pinpoint check action required" notification trigger?

The notification is sent when one of the checks in an order reaches one of these states:

  • Complete — a check has finished and the result is ready to review

  • Client action required — the provider needs you to take an action before the check can continue

  • In dispute — the candidate has disputed something on the check and it's being investigated

  • Cancelled — the check was cancelled by you, the candidate, or the provider

It also fires when the case reaches one of these states:

  • Invite undeliverable — the invite email couldn't be delivered to the candidate

  • Applicant expired — the candidate didn't complete their part of the check before the invite expired

The body of the notification tells you which state triggered it.


How do I manage which notifications I receive?

Both notifications can be found in the Candidate Actions section within your notification preferences page.


FAQs

Why am I getting a notification for a state that doesn't need an action from me?

Some of the trigger states — Cancelled, Invite undeliverable, Applicant expired — don't strictly require you to do anything, but you're notified so you know the order didn't progress as planned. For example, if a candidate's invite expires you'll want to know so you can re-invite them or take a different route.

My colleague isn't getting notifications. Why?

Only users who have permission to view background check results for the application will receive the notification. If a colleague isn't being notified, an admin can check their permissions on the User Management page and confirm they're set up to be notified for the relevant jobs.

What if I open the order and some results are still missing?

If the notification fired for one check completing but other checks in the same order are still in progress, you'll see a callout at the top of the Results tab letting you know more results are still pending. You'll receive further notifications as those checks progress.
