Building a Candidate Report

Report on candidate application data, including hiring data, using the report builder

You can build a candidate report in Pinpoint to export line-by-line data about applicants across your jobs as a comma-separated values (CSV) file.

Each row in a candidate report represents one candidate, so you can view and compare data for multiple applicants in one place.

✅ Permissions

You will need the Create and view custom reports permissions to get started.

Reports are visibility dependant and will only show data within the visibility of the user running the report.

🔒 Availability

Candidate reports are only available if Advanced Reporting is enabled on your account. If you're interested in turning it on, contact your Customer Success Manager (CSM).


Building a Candidate Report

To build and export a candidate report:

  1. Open Insights.

  2. Select Reports.

  3. Click Build a New Report.
    ​

  4. Select Candidate Summary from the base reports panel on the right.
    This adds the most commonly used columns, which you can edit or remove later.
    ​

  5. Use the Edit Columns panel on the left to add or remove data you want in your report.
    ​

  6. Use the Filters at the top of the report to narrow the results.
    ​

  7. Click Run Report.
    You will be taken to the preview in the Report History tab.

  8. Click Download to export your CSV file.

⚠️ Caution

You can only save a report as a template from the report preview. If you leave the preview without saving, you'll need to build the report again.


Customizing the Report

Available Data

You can add the following data to a candidate report:

  • Application details (Candidate Name, Email Address, Application Dates)

  • Job details (Requisition ID, Location, and Department)

  • Answers to templated application questions on the job

  • Offer information

  • Onboarding details

  • Background check information

  • Referral data

  • Custom fields

Available Filtering Options

Filtering by Date

You can filter by date in two ways:

  • Dynamic date - Click the Value dropdown to choose a date (e.g., 1 day ago).

  • Fixed date - Click the Calendar icon to the right of the filter, then click the dropdown again to choose a date (e.g., 2026-09-24).

Filtering by Date Range

To show results within a date range, combine an After filter with a Before filter.

For example, to show candidates who applied in April 2026, add these two filters:

  • Application Date - After 31st March 2026

  • Application Date - Before 1st May 2026

Renaming Columns

To rename a column:

  1. Click the Edit icon next to its name.
    ​

  2. Enter a new name.

  3. Click Save.

Changing the Date Format

To change the date format:

  1. Scroll to the bottom of the builder.

  2. Select a new format from the dropdown.


Saving a Report as a Template

You can reuse reports as templates to save you having to rebuild them later. You can do this before running the report, or from the report preview after running it.

To save a report as a template, click Save as Template and enter a name for the template.

From the template screen, you can:

  • Edit the report

  • Duplicate the report

  • Manage access (edit or view-only)

  • Schedule the report to run daily, weekly, or monthly


Limitations to Consider

User Visibility

Candidate reports only show data within the visibility of the user running the report.

If you share a report template with a colleague, they might see more or less data than you when they run it, depending on their own visibility.

Once a report is exported as a CSV file, anyone with access to that file can see all the data in it.

Combining Job and Candidate Reports

You can't combine a job report and a candidate report into one report. Each report type pulls from a different data source, but many data points are available in both.

Exporting Insights Pages

You can't export Insights pages or their widgets. You can still view and analyze this data in the Insights hub, or build a candidate report to export the underlying candidate data.
