Push candidates directly to your iTrent system from Pinpoint

Pinpoint integrates with iTrent, allowing you to send any Hired candidate directly to your company's iTrent account.

Preparing your instance to be used with Pinpoint

Before you can connect your iTrent account to Pinpoint, you must first reach out to your iTrent (MHR) Account Manager and ask them to prepare your iTrent instance to be used with Pinpoint. You will need Workflow Data Publisher licence key for iTrent to be able to use iTrent API.

MHR consultant will set the Pinpoint Data Maps and Package, API User, Data Publisher Endpoint, and a firewall change that needs to be made. Once this is done they will provide you with an API Endpoint URL, username, and password. They might ask about the Webhook URL at this stage - please see this section to learn where to find it.

Certain fields in iTrent accept only a range of values (picklists/dropdown). Pinpoint offers default picklist options that are based on the iTrent defaults. For most of those fields, you can customize the list of options in their iTrent instance.

If you have any custom options for any of the "Global configuration" options in iTrent, then you will need to create a special configuration file to adjust to these values. The end goal is that Pinpoint options for dropdown fields must match options configured in your iTrent instance. We have listed some instructions below on how to carry this out.

Instructions for Checking and Customising Field Options in iTrent

If you need to check whether you have customized options for any of the fields in your iTrent instance, follow these steps. This guide will also help you understand how to prepare and send the necessary information for integration.

  1. Access iTrent:

    • Log in to your iTrent instance.

  2. Locate Field Options:

    • Refer to the table of options added to the end of this article. This section provides a detailed breakdown of every field and where you can find the options in iTrent.

    • Navigate to the fields you need to verify for customisation.

  3. Compare with Default Values:

    • Review the list of default values available at the end of this article.

    • Compare these default values with the options available in your iTrent instance to determine if any customisations have been made.

  4. Seek Assistance If Needed:

    • If you are unsure how to check the field options or lack access to these options, contact iTrent support for assistance.

    • Note that while iTrent support can help you obtain a list of field options, they will not prepare the configuration file for you.

If you do have any customisations please download the config file template (attached below), modify it with your values, and send it to the support team and we will pass it on to our integrations team so that they can prepare the file for you.

Enabling your integration in Pinpoint

Once your iTrent account has been prepped, you can then enable the integration.

To do this go to "Integrations" under settings in the left hand Navigation bar, then in the "Apps" tab, search "iTrent" and click "Add"

Once the integration has been added, you will need to enter the API endpoint, username, and password sent to you by your iTrent account manager, and click Save.

You then need to configure the Webhook URL in iTrent. The instructions and the URL can be found in the Integration page, below the integration credential fields

Once this has been completed in iTrent, you can go back into the integration in Pinpoint, and set the toggle to "Enabled".

Sending Candidates to iTrent

To send a candidate to iTrent, click on the three dots in the top right of the candidate's application, and click "Send to iTrent"

You will need to know the Position Reference Number of the iTrent position is being sent to - this can be found in iTrent and must be entered manually.

Complete all of the fields and submit the form.

Once the candidate has been successfully sent to iTrent the user submitting the candidate, will be notified by email.
