Using the Interpreter Intelligence Integration

Written by Lia Bartosz

Interpreter Intelligence is a platform for scheduling and managing interpreters.

The Pinpoint integration turns a hired candidate into an interpreter contact in Interpreter Intelligence in a few clicks, so you no longer need to retype their details or fill in an import spreadsheet.

Anyone with this permission can view all data being exported, even sensitive data such as date of birth and bank details.

Capabilities

With the integration you can:

  • Create a new interpreter contact in Interpreter Intelligence straight from a candidate's application or onboarding record.

  • Send from a form your data mapping has already filled in, so each send is a quick review rather than data entry.

  • Choose languages, status, gender, employment category, assignment tier, payment method and countries from lists that come directly from your own Interpreter Intelligence account, so the values always match.

  • Send interpreter details such as induction and activation dates, licence or NRCPD number, notes and bank details in the same step.

  • See straight away if Interpreter Intelligence rejects anything, with the problem shown against the field that needs fixing.

  • Keep a record in Pinpoint of the Interpreter Intelligence contact ID, which also stops the same candidate being sent twice by mistake, and see each send in the application's history.

  • Once your process is settled, send candidates automatically when they move to a chosen stage.

  • Keep Pinpoint's dropdowns in step with Interpreter Intelligence, for example by syncing your Interpreter Intelligence languages into a Pinpoint custom field.

Preparing for Setup

What you need from Interpreter Intelligence:

  • A subscription that includes access to the Interpreter Intelligence API.

  • The languages you work in, and your reference values (statuses, genders, employment categories, assignment tiers and payment methods), set up in your Interpreter Intelligence account.

Setup

your Pinpoint contact enables and configures the integration for you. Contact them to get started.

Interpreter Intelligence support (support@interpreterintelligence.com) can help you find the values needed for setting the integration up.

Value

What it is

API Base URL

The web address of your Interpreter Intelligence account.

API Subject

Your API key or username for connecting to Interpreter Intelligence.

API Secret

The password that goes with the subject. Pinpoint stores it securely and hides it once saved.

Languages to offer (optional)

If you only want some of your Interpreter Intelligence languages to appear in Pinpoint, or want them named differently, list them. If you leave this out, every language enabled in your account is shown.

Sending a Candidate to Interpreter Intelligence

To send candidates, users need the Export applications to external HRIS permission.

To send a candidate through the integration:

  1. Open the candidate's application. This is usually once they have been hired.

  2. Open the Application Actions menu.

  3. Select Send to Interpreter Intelligence.

  4. Review the form.
Your data mapping has already filled it in from what Pinpoint holds about the candidate.

  5. Check the values, fill any gaps, and change anything you need to. You can select up to eight languages.

  6. Fill in any optional fields you need, such as address, dates, notes and payment details.

  7. Click Submit.
    Only press this button once.

When the contact has been created you will see the Candidate sent to Interpreter Intelligence. message, along with the new Interpreter Intelligence Contact ID.

You can also send an onboarding candidate manually: open the three-dots menu on the candidate in Onboarding, select Send to Interpreter Intelligence and follow the same steps. Answers collected during onboarding can be used to fill the form.

To send automatically, add Send to Interpreter Intelligence as a stage action, so candidates are sent when they move to a chosen stage. Automatic sending is available through stage actions only, not from Onboarding.

After Sending...

What you see

What it means

Candidate sent to Interpreter Intelligence.

The contact has been created. Pinpoint saves its Interpreter Intelligence contact ID against the candidate and adds a Candidate exported to… entry to the application's History, so you can always see who was sent and when.

Please correct the highlighted fields.

Pinpoint or Interpreter Intelligence found a problem with one or more values. Nothing has been created. Fix the highlighted fields and submit again.

Contact creation could not be confirmed.

Pinpoint did not get a clear answer back. The contact may have been created. Check Interpreter Intelligence before you try again.

Interpreter Intelligence authentication failed. Check the plugin configuration.

The connection details are wrong or have changed. Nothing has been created.

Once a candidate has been sent, they cannot be sent again. If you need to be able to send the same candidate again, ask your Pinpoint contact.

Flexible Data Mapping

Data mapping is part of your setup. You work with your Customer Success Manager to decide which Pinpoint information goes into each Interpreter Intelligence field, drawing on candidate details, application answers, offer details, onboarding answers and custom fields.

Once it is in place, the form arrives filled in for every candidate, so each send is a quick review, plus the odd gap to fill if needed, rather than retyping a whole record. If your process changes, your mapping can change with it.

Out of the box, First Name, Last Name, Email Address, Mobile Phone, Date of Birth, Home Street, Home Apt/Unit #, Home City, Home Postal Code and Home Country come straight from the candidate's record.

You can always type over a pre-filled value before you submit.

Keeping Lists in Step with Interpreter Intelligence

Pinpoint can copy lists from your Interpreter Intelligence account into Pinpoint on a schedule (hourly, daily or weekly), so the options your team picks from in Pinpoint match the ones in Interpreter Intelligence.

The lists available from Interpreter Intelligence are languages, genders, statuses, employment categories, assignment tiers, payment methods and countries. Each one can be synced into:

  • the options of a custom field dropdown, for example Interpreter Intelligence languages into a "Languages spoken" custom field

  • the options of an application question, for example languages into a question on your application form

  • the options of an onboarding question, for example payment methods into an onboarding question

  • your Locations, Departments, Divisions or Custom Group list, for example countries into Locations

New values in Interpreter Intelligence are added to Pinpoint at the next sync, and you can choose to copy only some of the values.

For custom field, application question and onboarding question options, the sync can also manage the list completely, so a value removed in Interpreter Intelligence is removed from Pinpoint too.

List syncs are set up for you. Tell your Pinpoint contact which lists you'd like, where they should go and how often they should update.

Troubleshooting

The form shows "Missing Configuration".

The connection details have not been entered yet. Contact your Pinpoint contact.

I can't see Send to Interpreter Intelligence.

Check that you have the Export applications to external HRIS permission. If the candidate has already been sent, they cannot be sent again. As a stage action, it appears only once your Pinpoint contact has switched it on.

A language or dropdown option is missing.

Check the value is set up in your Interpreter Intelligence account. If you asked for a restricted language list, check the language is on it. New values can take about five minutes to appear in Pinpoint.

A field is highlighted with an error.

Read the message, correct the value and submit again. A common cause is a phone number with spaces or brackets: use digits only, with an optional + at the start, for example +447700900123.

"Selected value is unavailable in Interpreter Intelligence".

The option has been removed from your Interpreter Intelligence account since the list was loaded. Pick another value.

"Contact creation could not be confirmed".

Search for the candidate in Interpreter Intelligence before submitting again. Submitting again when the first attempt worked creates a second contact.

Home Country is filled in but rejected.

Choose the country again from the dropdown.

"Interpreter Intelligence authentication failed".

Your API Subject or Secret may have changed. Send the new details to your Pinpoint contact.

FAQs

Is sending automatic?

It can be. Sending can be automated with a stage action. Sending from Onboarding is always manual. We recommend sending manually for a few weeks or months first, depending on your hiring volume, until your process is stable. Then ask your Pinpoint contact to switch it on.

Does it work with Onboarding?

Yes, you can trigger it at any time in the onboarding flow (use the three-dots menu on the candidate).

Where can I see that a candidate was sent?

In the application's History, which shows a Candidate exported to… entry for each send.

Can I send the same candidate again?

Not by default, so that duplicates are not created. Ask your Pinpoint contact if you need this.

How many languages can I send?

Between one and eight.

Can I choose which fields appear on the form?

Yes. Optional fields can be shown, hidden, reordered, renamed, grouped under headings or made required. The ten required fields are always shown.
