Add conditions before a candidate can move stage

Stage Conditions is not automatically enable for every platform, please reachout to Support if you would like this feature switched on.

You can add conditions to a hiring workflow stage so a candidate can only be moved into that stage once the conditions are met. This keeps your funnel accurate and stops candidates skipping steps or reaching Hired or Onboarding before they should.

Who can set this up

Adding or editing stage conditions needs the "Manage jobs" or company settings permission. You can set conditions on the stages in a job template or on an individual job. Jobs inherit their template's conditions, and you can adjust them per job.

The conditions you can add

  • Accepted offer: the candidate must have an accepted offer before they enter the stage.

  • Actioning user role: only people in the roles you choose can move a candidate into the stage.

  • Application answer: a chosen application question must be answered.

  • Application custom field: a chosen custom field must be set.

  • Previous stages: the candidate must have passed through the required earlier stages first, so no one skips ahead.

A stage can carry more than one condition. When it does, all of them must be met before a candidate can move in.

How to add a condition

  1. Open the workflow on a job template or on a job.

  2. Open the stage you want to protect.

  3. Add a condition and choose its type.

  4. Set the details, for example which roles, which answer, or which earlier stages.

  5. Save.

What happens when a condition is not met

  • The blocked stage shows a padlock and explains what is missing.

  • On the kanban board, a blocked card snaps back with the reason.

  • The block applies everywhere a stage change happens: the stage dropdown, drag on the board, workflow automations and bulk moves.

💡 Good to know

  • Conditions only apply to forward moves. Moving a candidate back, rejecting or withdrawing always works.

  • This is a hard block in this version, with no override.

  • Candidates already past a stage when conditions are switched on are not blocked or moved back.

Stage conditions are controlled by a company setting that Pinpoint turns on for your account.
