Give specific users or access groups visibility over every job in your organisation, including private and confidential jobs, without having to add them to each job individually.
This access is only available to users with the "Company" level permissions.
By default, users can only see jobs they've been given visibility to, either through the company structure (e.g., location or department) or by being added directly to a job. Private and confidential jobs add an extra layer of restriction.
Overriding Job Access removes these restrictions for designated users, giving them visibility over all jobs in the organisation.
Key benefits:
Users who need a complete view of all jobs (e.g., for reporting or coordination) no longer have visibility gaps
No need to manually add users to every new job that's created
Works with access groups so you can manage visibility for a whole team at once
Setting Up Overriding Job Access
Option A: Grant to an Individual User
Step 1: Open User Settings
Navigate to Settings > User Management and select the user you want to grant access to.
Step 2: Go to the Visibilities Tab
Click the Visibilities tab to view the user's current job visibility settings.

Step 3: Enable Overriding Access
At the top of the Jobs section, turn on the toggle labelled "Visibility over all jobs, including private and confidential jobs".
When enabled, the company structure visibility options below will be hidden - they're not needed since the user can already see everything.
Step 4: Save
Click Save visibilities to apply the change.
Option B: Grant to an Access Group
Step 1: Open Access Group Settings
Navigate to Settings > User Management > Access Groups and select the group.
Step 2: Go to the Visibilities Tab
Click the Visibilities tab.
Step 3: Enable Overriding Access
At the top of the default job visibilities section, turn on the toggle labelled "Visibility over all jobs, including private and confidential jobs".
Step 4: Confirm and Save
Click Update in the confirmation dialog to apply.
β All users currently in the group will immediately receive visibility over all jobs. Any new users added to the group in the future will also receive this access automatically.
How It Appears in Jobs
When editing a job, the Manage User Access drawer shows all users who have visibility. Access this via Edit > Settings > Manage visibility of this job and its candidates.
The drawer shows three types of users:
Users with overriding access β Can see all jobs organisation-wide. Cannot be removed per job.
Users with inherited visibility β Have visibility through the company structure (shown when "Inherit access via visibilities" is enabled).
Directly assigned users β Added specifically to this job. Can be added or removed.
Removing Visibility of All Jobs
For an Individual User
Go to the user's Settings > Visibilities tab
Turn the toggle OFF
The user's previous visibility settings are automatically restored
Click Save visibilities
For an Access Group
Go to the access group's Settings > Visibilities tab
Turn the toggle OFF
The group's previous visibility settings are restored
Confirm and save
Note: If a user has overriding access from both their individual settings and an access group, you'll need to remove it from both sources.
Best Practices
Who should get this access?
Reporting users who need a complete picture across all jobs for analytics or compliance
Coordination roles who manage hiring processes across teams but aren't hiring managers on every job
Audit or compliance users who need to review all hiring activity
Managing via Access Groups
Using access groups is the recommended approach when multiple users need this access. It's easier to manage centrally and ensures consistency when team members change.
Frequently Asked Questions
Can I limit overriding access to specific locations or departments?
No. Overriding access applies to all jobs across the entire organisation. If you need visibility scoped to a specific part of the company structure, use the standard visibility settings instead.
Does this give the user permission to edit all jobs?
No. Overriding access only controls which jobs a user can see. Their ability to edit jobs, manage candidates, or perform other actions still depends on their assigned roles and permissions.
Will new jobs I create in the future be visible to these users?
Yes. Users with overriding access can see all current and future jobs without any additional configuration.
Can I see who has overriding access from within a job?
Yes. Open the job's Manage User Access drawer. Users with overriding access are listed with a "Visibility over all jobs" tag.
Troubleshooting
I don't see the toggle in user or access group settings
This feature may not be enabled for your account yet. Contact your Customer Success Manager or Pinpoint support to request access.
I turned it on but the user still can't see private jobs
Check that the user isn't viewing jobs through a cached view. Try refreshing the page. If the issue persists, contact support.
I removed the toggle but the user still has access
Check whether the user belongs to an access group that also has overriding access enabled. The access needs to be removed from all sources.
