Sending Emails from a No-Reply Address

Pinpoint now allows you to send transactional emails from a no-reply address, giving your hiring team greater control over candidate communications. When an email is sent from a no-reply address, candidates cannot respond directly — helping to protect your team from unsolicited or unwanted replies.

This option is available on ad-hoc emails, email templates, and automation email


How It Works

Ad-Hoc Emails

When composing a one-off email to a candidate, you'll see a No Reply option in the compose window.

Checking this box sends the email from a no-reply address. If the candidate tries to reply, their response will not be delivered to your team.

This setting is optional and applies only to that individual email — it does not affect other emails you send.


Email Templates

Administrators and users with template editing permissions can configure a template to always send from a no-reply address.

To set a template as no-reply:

  1. Go to Settings → Email Templates (or open an existing template)

  2. When creating or editing a template, locate the No Reply section

  3. Check Send email from no-reply address

Any email sent using that template will automatically be sent from a no-reply address, regardless of who sends it or when.

This is particularly useful for standardised communications like rejection emails or application receipt confirmations, where replies are not expected or desired.


Automations

No-reply can also be configured on automated emails configured using the Automations system.

To set an automation email as no-reply:

  1. Navigate to the relevant automation

  2. When configuring the relevant automation action, check Send email from no-reply address

Once saved, all emails sent via that automation will go out from a no-reply address.


Seeing No-Reply Emails in the Message Thread

When a message has been sent from a no-reply address, it is clearly marked in the candidate's message thread within Pinpoint. You'll see an info indicator (ℹ) alongside the message, with the note:

This email was sent from a no reply address. The candidate will not be able to reply.

This applies to ad-hoc messages, template-based emails, and automated messages alike, so your team always has full visibility into how a communication was sent.


Things to Know

  • No global default: There is no setting to make all emails no-reply by default. Each email, template, or automation must be configured individually.

  • No automatic no-reply by stage: No-reply is not applied automatically based on a candidate's stage or outcome — it must be selected explicitly.

  • Candidates cannot reply: When an email is sent from a no-reply address, any reply attempt from the candidate will not be delivered to your team or be visible within Pinpoint.

  • Applies to all email types: The no-reply option is available across application receipt emails, rejection emails, stage action emails, additional information requests, and ad-hoc emails.


Frequently Asked Questions

Can I make no-reply the default for all emails? Not at this time. The no-reply option must be selected on a per-email, per-template, or per-automation basis. There is no company-wide enforcement setting.

Will I still be able to see no-reply emails in the candidate's message thread? Yes. All emails sent from a no-reply address are visible in the message thread and are clearly labelled so your team knows the candidate cannot respond.

What happens if a candidate replies to a no-reply email? Their reply will not be delivered to your team. Candidates will typically receive a bounce notification from their email client informing them the address cannot receive messages.

Does the no-reply setting sync with email templates used in automations? Not automatically. If you use a template within an automation, the no-reply setting must also be configured on the automation itself. Check both the template and the automation to ensure the setting is applied as expected.
