Managing candidate applications effectively is crucial in recruiting, especially when you identify a candidate who could be a better fit for another job. This article explains how to either Move or Copy a candidate's application to another job within Pinpoint, detailing the differences between these functions and providing step-by-step instructions for each method.



The main difference between Moving and Copying candidates to other jobs is that the function to Copy a candidate/application creates a duplicate application under another job, which will produce multiple applications for the candidate. Moving a candidate/application to another job will move the candidate's current application to the job that you select, rather than creating a duplicate application.

By default, you will have the option to Copy candidates to another job, but the option to Move candidates lies behind a platform setting. If you would like the option to Move candidates to other jobs, please let your account manager know and they will enable the setting.

How do I Copy an Application to Another Job?

To copy an application to another job, you will follow a straightforward process through the candidate's application page. This function allows you to create a duplicate application in a different job listing, while preserving the original application intact. Here’s how to do it:

  1. Select the Application
    From the candidate's application page, select the ellipsis to the far right of the candidate's name, and from the menu that appears, select Copy to Job.

  2. Choose Job and Stage
    This will open a window where you can select the Job and Stage to which you want to assign the duplicated application. Once selected, click the Copy to Job button.

Note that application data that cannot be copied with the application includes: Interviews, Emails, Comments, Scorecards, Tags, and Referrals. The Copy function retains basic application data like Resumes, Cover Letters, Custom Application Fields, Application Question Responses, and Documents.



How do I Move an Application to Another Job?

To move an application to a different job, follow the steps outlined below. Unlike copying, this will transfer the existing application without creating a duplicate. Here’s how to move an application:

  1. Select the Application
    From the candidate's application page, select the ellipsis to the far right of the candidate's name, and choose Move to Job from the menu that appears.

  2. Choose Job and Stage
    This will open a window where you can select the Job and Stage that you want to move the current application to. You can choose to move Items like application details, Offers, and Background Checks by default, along with any Emails, Tags, Comments, or Scorecards you want to include with the application.

    Once you have selected the desired items, along with the Job and Stage settings, select Move to Job.

Please remember that application data that cannot be moved with the application includes: Interviews.


FAQs and Troubleshooting

Can I copy an application to a job that has already been filled?

No, you can only copy applications to jobs that are not yet filled. Make sure the job is still open before attempting to copy the application.

Do I need special permissions to move an application?

Yes, to move applications, you need to have the proper Job permission setting enabled, allowing you to "Move applicants between workflow stages or between jobs." If you don't have this permission, please contact your Pinpoint administrator.

What happens to the original application when I move or copy it?

When you copy an application, the original stays intact, while the copied version will appear in the selected job. When you move an application, the original application is transferred to the new job and will no longer appear in the previous job listing.
